This Privacy Policy explains how Royal Scent — operated by Ngcoya Industries (Pty) Ltd (registration number 2020/596959/07), of 129 Main Road, Observatory, Cape Town — collects, uses, stores, and protects your personal information when you use our website, place an order, subscribe to our newsletter, contact us, or join our affiliate program. We process personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA). In terms of POPIA, Royal Scent / Ngcoya Industries (Pty) Ltd is the "responsible party" for the personal information described in this policy. This policy was last updated on 20 August 2026.

Information We Collect

Depending on how you interact with us, we may collect: your full name, email address, and phone number; your delivery address and, where relevant, your selected pickup point (collected via Google's address autocomplete service when you type an address at checkout); order details, including the products you purchase and any notes you add to an order; your email address if you subscribe to our newsletter; your name, email address, phone number, subject, and message if you contact us through our website; and, if you become an affiliate, your name, email address, password (stored in encrypted form), and banking details (account holder name, bank name, account number, branch code, and account type) submitted for the purpose of receiving commission payouts.

How We Use Your Information

We use your personal information to process and fulfil your order, communicate with you about your order (including payment and delivery updates), respond to enquiries you send us, send you newsletter communications you've opted in to, administer the affiliate program (including calculating commission and processing withdrawal payouts to affiliates), and to meet our legal and accounting obligations, such as maintaining financial records.

Cookies and Tracking

We use functional local storage in your browser to remember the contents of your shopping cart between visits — this is not shared with any third party, does not track you across other websites, and doesn't require your consent since it's necessary for the site to work. We also use Google Analytics to understand overall traffic and how visitors use our website (for example, which pages are popular) — this sets cookies in your browser that Google uses to compile aggregated, anonymised usage statistics for us. Unlike the cart storage above, this is optional: when you first visit our site, a cookie banner asks for your permission before any Analytics cookie is set, and you can accept, reject, or change your choice at any time using the "Cookie Preferences" link in our footer. We don't use Google Analytics data to identify you personally, and we don't use any advertising or ad-retargeting tracking. If that changes in future, we will update this Privacy Policy before doing so.

Sharing Your Information

We share personal information with the following third parties, strictly to the extent needed for them to provide their service to us: PayFast, to process your payment securely (Royal Scent never sees or stores your card details); Google, to power the address autocomplete field at checkout and, via Google Analytics, to provide us with website usage statistics; Resend, to deliver transactional emails such as order confirmations; and our courier partners, who receive the delivery details necessary to deliver your order to you. We do not sell your personal information to anyone, and we do not share it with any third party for their own marketing purposes.

Cross-Border Data Transfers

Some of the service providers we use to run our website and process your information — including cloud hosting and email delivery providers — may store or process data on servers located outside South Africa. Where this happens, we rely on reputable providers who apply appropriate safeguards to protect your information, consistent with the requirements of POPIA.

How Long We Keep Your Information

We retain order and customer records indefinitely, as we are required to keep accurate financial and tax records and this also allows us to assist you with any future queries about a past order. Affiliate account and banking information is likewise retained indefinitely, even after an affiliate account is deactivated, to preserve an accurate record of commissions earned and paid. If you would like us to consider deleting your personal information sooner, you're welcome to contact us and we will assess your request in light of these legal obligations.

Your Rights

Under POPIA, you have the right to: request confirmation of whether we hold personal information about you; request access to that information; ask us to correct or update it; ask us to delete it, subject to our legal obligation to retain certain records (see above); and object to how we process it. To exercise any of these rights, email us at admin@royal-scent.co.za. We will respond to your request within 30 days.

Marketing and Unsubscribing

You will only receive newsletter emails from us if you have actively subscribed. You can unsubscribe at any time, instantly and without needing to contact us, at royal-scent.co.za/unsubscribe — or by emailing us at admin@royal-scent.co.za if you'd prefer.

Affiliate Data

If you join our affiliate program, the banking details you provide are used solely to pay out commission you've earned and are never shared with anyone outside of processing that payout. You can update your banking details at any time through your affiliate dashboard.

Security

We take reasonable technical and organisational measures to protect your personal information against loss, unauthorised access, and misuse, including encrypting stored passwords and securing our systems with authenticated access controls. No method of transmission or storage is completely secure, but we work to keep your information appropriately protected.

Complaints

If you're unhappy with how we've handled your personal information, please contact us first at admin@royal-scent.co.za so we can try to resolve it. You also have the right to lodge a complaint with South Africa's Information Regulator, the body responsible for enforcing POPIA.
